How the IMA Society Portal is supplied
The platform is available and can be configured for the society’s membership, events, payments, documents and governance workflows.
Who owns the deployment?
Deployment and source-code rights are recorded in the signed proposal and depend on the agreed commercial terms.
What remains separate?
Hosting, maintenance, payment charges, messaging services and later upgrades are separate unless included in the proposal.

Govern member records, elections, payments and society access
A society portal may retain professional membership information for several years and give different access to members, office bearers, administrators and vendors. Governance rules should therefore be translated into fields, permissions, notices and retention settings before migration.

Membership records
The society defines required member fields, verification, directory visibility, renewal history and who may correct or export records. Public profiles should not be assumed.

Fees, events and communication
Payment hand-off, receipts, attendance, certificates, segmented email and SMS use only the agreed fields and providers. Marketing should not be bundled into essential member notices.

Elections and governance
Eligibility, voter roll access, authentication, ballot secrecy, audit evidence and result publication must follow the society’s approved rules and separately agreed technical design.

Migration and office-bearer changes
Legacy spreadsheets should be cleaned and transferred securely. Administrator access, exports and credentials should be reviewed whenever office bearers or vendors change.
Scope note: The portal provides configurable workflows; it does not itself validate membership status, statutory governance, election legality or accounting treatment. The society remains responsible for approved rules, member notices, retention and authorised publication.
